Who we are

OptionExplicit is a registered trade name of a sole proprietorship in the Netherlands, registered with the Dutch Chamber of Commerce under number 60971819. OptionExplicit is responsible for the processing of personal data described in this Privacy Policy.

You can contact us at info@optionexplicit.eu or at Alexanderveld 5-9, 2585DB The Hague, the Netherlands.

When you contact us

If you use our contact form or send us an email, we process the details you provide, such as your name, organisation, email address, telephone number and message. We use these details to respond to your enquiry and to follow up on any request you make. Depending on the request, we do this to take steps at your request before entering into a contract or on the basis of our legitimate interest in handling business enquiries and communicating with you.

Please do not include sensitive personal information in your message unless it is necessary for your request.

When you call our AI telephone assistant

Some incoming calls are answered by the STRATO AI telephone assistant. The assistant tells you at the start of the call that you are speaking with AI. It processes what you say during the call to answer your question, route the call or prepare a callback request.

Depending on the call, we may receive and retain your telephone number, the date and duration of the call, details you provide such as your name and organisation, a summary of your request, a callback request and the result of any attempted transfer. We use this information to handle and follow up on your enquiry. We rely on our legitimate interest in being reachable and responding to enquiries, or on taking steps at your request before entering into a contract where that applies.

We do not retain call audio or a full transcript of the conversation. The assistant processes speech during the call to produce a response and, where relevant, a summary. You may end the call at any time and contact us by email instead.

When you visit our website

Our website and its server may process technical information needed to display and protect the site, such as your IP address, the time of your visit, requested pages, browser information and error or security events. We use this information to operate the website, diagnose problems and protect it against misuse. Where this information is personal data, our basis is our legitimate interest in running a reliable and secure website.

If you accept optional analytics cookies, we use Google Analytics to understand how visitors use our website. Google may receive information about your visit, such as the pages viewed, browser and device information, and online identifiers. Analytics is based on your consent. You can withdraw that consent at any time using “Show the cookies bar” on our Cookie Policy page. For details about the cookies and their lifetimes, see our Cookie Policy.

Who receives your data

We use service providers to operate our website, email and telephone service. STRATO processes AI telephone enquiries on our behalf, including the information needed to generate call summaries and callback requests. Our website and email systems process the information you send us. We share personal data only when needed to deliver these services, respond to your request or comply with a legal obligation.

How long we keep your data

We keep enquiries that do not lead to a customer relationship for up to 12 months after the last contact. We delete AI call summaries and callback requests within 3 months after the request has been handled. Correspondence that becomes part of an ongoing customer relationship, or is needed for a legal obligation or a specific dispute, may be kept longer where necessary. Routine website access and security logs are kept for up to 3 months, unless they are needed to investigate an incident. We then delete or anonymise the information where possible.
For Google Analytics, we have set a two-month retention period for user-level and event-level data. This is separate from the approximately three-month lifetime of analytics cookies in your browser. This retention setting does not apply to standard aggregated Analytics reports.

Your rights

You may ask us for access to your personal data, correction or deletion, restriction of processing, data portability where applicable, or object to processing based on legitimate interests. You may also lodge a complaint with the Dutch Data Protection Authority (Autoriteit Persoonsgegevens). Contact us at info@optionexplicit.eu to exercise your rights. We may ask for information needed to verify your identity before responding.

Changes to this policy

We may update this Privacy Policy if our website, services or data practices change. The latest version is published on this page with its update date.
